Use case

Govenda set out to transform board portal software by making board relationship management more efficient, secure, and user-friendly.

Challenges

  • Lack of efficiency: Traditional board books required frequent physical updates, leading to wasted time and resources.
  • Security concerns: Emailing sensitive board materials introduced risks of unauthorized access and data breaches.
  • Fragmented workflows: Managing board documents across different platforms resulted in inconsistencies and difficulties tracking updates.

Solutions

  • Streamlined digital management: Govenda integrated Nutrient’s SDK to create a seamless digital experience for board members, eliminating the need for physical updates.
  • Enhanced security measures: Nutrient’s cloud-based solution ensured sensitive board materials remained secure, reducing reliance on email and local device storage.
  • Unified platform integration: By adopting Nutrient across iOS, Android, and Web, Govenda provided a consistent and reliable experience for all users.

Results

  • Govenda is able to provide board members with a secure, real-time document-sharing experience.
  • Govenda now ensures all board documents are consistently up to date and accessible across platforms.
  • Govenda has reduced administrative overhead by eliminating manual updates and paper-based inefficiencies.

Govenda(opens in a new tab) is a women-founded company that began offering board portal software to help companies manage their board of directors communications. Jeanette Thomas, CTO of Govenda, understood the growing complexity of board management and governance. While board portals had improved digital access to materials, many companies still relied on inefficient, outdated methods — either physical binders or insecure email workflows. She recognized the need for a more secure, seamless, and intuitive solution that would allow boards to focus on strategic decision-making rather than logistical challenges.

“We think board relationship management is an exciting area. But there’s so much responsibility on the shoulders of the board of directors and the management team, that they need to have a comprehensive forward-thinking approach to how they manage the company. And our goal is to help them do that.”

Inefficient processes and emerging security risks

Board administrators historically prepared board books using physical binders, which were mailed to board members before meetings. If updates were needed, replacement sections had to be sent separately, making the process inefficient, expensive, and environmentally unsustainable.

As electronic workflows emerged, many administrators turned to email for sharing board materials. While this reduced costs and time, it introduced new security risks. Sensitive documents stored on personal and corporate devices were vulnerable, as seen in high-profile cybersecurity breaches. Additionally, managing multiple versions of board materials through email was cumbersome and disorganized.

Govenda needed a secure, centralized solution that ensured board materials were always up to date, easy to manage, and accessible only to authorized individuals. A key part of this solution required a robust SDK for working with PDFs, leading the company to partner with Nutrient.

Implementing a seamless and secure document solution

In 2014, Govenda integrated Nutrient iOS SDK into its platform, as it was the only tailored PDF solution available for iOS at the time. Initially launching as an iPad-only application, Govenda later expanded to additional platforms. As Nutrient introduced its Android SDK in 2016 and Web SDK in 2018, Govenda adopted them, consolidating its entire document management solution under Nutrient.

Before adopting Nutrient Web SDK, Govenda used a different PDF tool for its web application, but the experience was subpar. The previous solution was neither intuitive nor efficient, lacking the speed and smooth user experience Govenda required. Once Nutrient introduced its Web SDK, Govenda swiftly transitioned all platforms to Nutrient, ensuring a unified and seamless experience across devices.

Nutrient enables Govenda to offer its customers a comprehensive board management solution(opens in a new tab). Users can create and distribute board materials, facilitate electronic voting, manage meeting minutes, and streamline governance processes. The integration allows board members to securely view, annotate, sign, and share documents while maintaining strict security protocols.

“We don’t think any other tools have the breadth and the ease of use that Nutrient has. We certainly have evaluated other companies over the years. And every time we do that, we’ve come back to Nutrient.”

Before using Nutrient, Govenda struggled with disparate solutions that didn’t meet the company’s evolving needs. After fully adopting Nutrient across all platforms, Govenda now provides a seamless, secure, and intuitive experience for its users. The consolidation of all PDF-related functionalities into a single, robust SDK solution has enhanced usability and efficiency across the platform.

Govenda has seen tangible improvements in operational efficiency and customer satisfaction. Users save significant time by eliminating redundant document distribution processes. Security is now a core strength, giving users peace of mind when handling sensitive information. By leveraging Nutrient’s technology, Govenda has positioned itself as a leader in board portal software, offering an unparalleled governance solution.
