How to use bulk user reassignment

The bulk user reassignment feature enables users with reassign permissions to reassign multiple open tasks from one process to a different user. This is particularly useful when workload redistribution is needed or when users are unavailable to complete their assigned tasks.

Prerequisites

To use bulk user reassignment, you need:

  • Reassign permissions — You must have Bulk Reassign permission on processes
  • Bulk reassignment module — Your environment must have the bulk user reassignment module enabled

Accessing bulk reassignment

  1. Navigate to Actions Menu in the main navigation.
  2. If available, select Bulk User Reassignment.

Reassignment process

Select target process

Open the process selection dialog by clicking the Select Process button.

Use the process selector to choose which process contains the tasks you want to reassign. The system shows only processes where you have Bulk Reassign permissions.

Choose new task assignee

Use the contact search to select the new recipient. A dialog will appear with the search result upon using the enter key or clicking the Search icon.

The system displays users who have Participate permission on the selected process. Select the desired user from the search results and apply the selection.

Review available tasks

The interface displays all open tasks in the selected process, including:

  • Request ID
  • Request name
  • Task name
  • Task status
  • Task type
  • Current assignee
  • Requester
  • Assignment date

Select tasks to reassign

Use the checkboxes to select which tasks should be reassigned to the new user. You can:

  • Select individual tasks
  • Use the Select All option in the table header to select all displayed tasks
  • Search tasks using the search bar to search by request ID, request name, task name, current assignee, or requester

Confirm reassignment

Review your selections and click Reassign Tasks to complete the operation. The system reassigns selected tasks to the new user sequentially and reflects this reassignment in the task history for the affected requests.

After the reassignment process completes, the interface provides feedback on the success or failure of the operation. You’ll see a summary of all reassigned tasks along with their new assignees.

For record-keeping purposes, you can export a detailed log of the reassignment actions. Click the Export option to download the reassignment history in your preferred format.

Permission requirements

The bulk reassignment feature requires Bulk Reassign permission on the target process. Permissions can be granted at:

  1. System level — Access to all processes
  2. Category level — Access to processes within specific categories
  3. Process level — Access to individual processes

Users inherit permissions through direct assignment or group membership. For more information, refer to the user permissions and groups guide.

Troubleshooting

  • Users not appearing in search — Verify the user has Participate permission on the target process.
  • No processes showing — Contact your administrator to verify you have Bulk Reassign permissions on the processes you need to access. For more information on managing process permissions, refer to the process permissions guide.
